It opens in Excel, Google Sheets and anything that reads xlsx files. Change whatever you like: shift times, how many people per shift, and the days.

How to use it

• Write the date the week starts at the top of the sheet.
• Adjust the shift times in the hours column to your business: morning, evening and night are set by default.
• In each cell, write the name of the person on that shift on that day.
• Keep a copy for each week, so you can go back to an earlier rota.

What a template does not do

A spreadsheet does not know who is available or who asked for time off, does not warn about short rest between shifts, and does not send the rota to anyone. All of that stays manual: collecting availability in messages, checking by eye, and posting a screenshot in the group.

As the team grows, that is exactly where scheduling software saves time. Staff submit availability from their phone, constraints are checked as you assign, and the rota reaches everyone at once.
