• Can staff use it from their phone without installing anything? Software that needs an install and a complicated sign-up will not be used by the whole team.
• Does it speak your team’s language? Many teams include people who read Arabic, Russian or English better than the local language.
• Are availability, leave requests and swaps built in, or will they keep happening in a group chat?
• Does it warn you while you assign about overlaps, short rest, approved leave and missing qualifications?
• Is the time clock tied to the rota, so you can see planned against actual?
• Do hours reports separate overtime and rest-day work, and can a month sent to payroll be locked?
• Can the hours go to your payroll software without being typed in again?
• Who sees pay data and personal details, and are they encrypted? Under modern privacy law that is a question of liability.

What to test during the trial

Do not try it alone. Invite three or four real employees, build one real week, and ask them to submit availability and request a swap. What they say after a week is worth more than any feature list.

Test the unpleasant moments too: somebody off sick, a shift left open, a punch somebody forgot. Good software is measured on the bad day, not the ordinary one.
