A rota that changes every week
No two weeks in a restaurant are the same: students whose availability moves, a private event booked on Wednesday, a server who is ill on Friday night. Staff submit availability from their phone by the deadline you set, and you build the rota with it in front of you rather than after a round of phone calls.
The rota stays a draft until you publish it, and only then does the team see it. A change after publishing reaches the person it affects as a notification, not the whole group.
Swaps and open shifts
A server who cannot make it asks another employee to swap, and the request closes with your approval. A shift left without anybody is published as an open shift, and whoever is free asks for it from their phone. Either way, who asked, who approved and when is kept.
Tips by points and hours
Enter the day's cash and card tips and the split follows the method you chose: points times hours, points only, hours only or an equal share. Each employee has a number of points, so an experienced bartender and a new server on the same shift do not have to get the same share. A percentage can also be set aside from the pool before it is split.
Every employee sees on their phone what they received and for which hours, so "how much did I make in tips this month" stops being your question to answer.
Labour cost against takings
While you build it, the rota shows the week's estimated wage cost from the pay rates. With the Staffing demand and counters package you enter daily takings and get a suggested headcount for each day of the week, based on the ratio of labour cost to takings.
Clocking in at the door
Staff clock in and out from their phone, and with the Clock-in station package from one tablet by the kitchen door as well, with a personal code. A missing punch, like a server who forgot to clock out after a late shift, is flagged for review rather than lost. The tip split is not affected, because it is based on the rota rather than the clock.
Ready on the first day
- Job titles ready to use: server, bartender, host, cook, dishwasher and shift lead, each with a starting pay rate and tip points you can change.
- A restaurant shift pattern: morning, evening and a mid shift.
- The screens a restaurant needs are on: tips, time clock, swaps and time off. Screens a restaurant does not need, such as on-call and handover, are off and out of the way.
- The interface in Hebrew, English, Arabic and Russian. Every employee picks their own language.
Packages worth a look
Some of what this page describes is an add-on package. Each one can be added at any time from the billing screen, and removed just as easily.
- Tips module: Tip pool, points/hours distribution and a private statement per employee.
- Clock-in station: One shared tablet at the door: staff key a personal code and clock themselves in — no personal phone, no queue at the office.
- Staffing demand and counters: How many people each job function needs each day, assigned against required in every cell, and a demand forecast from takings.
- Smart auto-fill: Builds the schedule from availability, balances hours and respects rest rules.
- Document library: Menus, procedures, forms and rotas in one place the whole shift can reach from a phone.
- Payroll export: Ready-to-import files for common payroll systems.
Do staff need to install an app?
No. It opens in the phone's browser and can be added to the home screen, where it behaves like an app. A new employee joins with the company's invite code.
Can we run more than one site?
Yes. Each site has its own rota and an employee can belong to more than one. One site is included and each additional site is bought separately.
Do tips go on the payslip?
The product works out the split and keeps a record for each employee with the date, the amount and the hours. It is a record of tips, not a payslip, and the figures are passed on from there for payroll.
