Free shift scheduling: what you get without paying

Three ways to build a shift rota without a monthly bill, and the difference between them: an Excel template, a free trial, and a small team that pays nothing per user.

1. A free Excel template

For a team of a few people, one sheet is enough. The rota template for Excel is free with no sign-up: seven days, three shifts a day and room for three people on each. What it does not do is collect availability, check rest between shifts or send the rota to anyone.

2. A free trial of the product

The product itself has a free 7-day trial for up to 5 users. That is enough to build one real week with your team, collect availability from their phones and see how a swap request looks.

3. A small team pays nothing per user

The first 3 users in every company have no monthly charge. A small business with up to 3 users pays only the one-time setup fee, $10, and uses the rota, availability, swaps and time clock with no monthly bill.

As the team grows, each further user is $5 a month. Add-on packages, such as automatic scheduling or the tips module, are bought once. It is all on the pricing page.

Which to choose

  • Up to three or four people, with few swaps: the Excel template is enough.
  • A small team tired of messages in the group: the product with its free users.
  • A larger team: the free trial, then priced by users.

What free does not include

The setup fee, $10, is paid once even by a small team. Add-on packages, such as automatic scheduling, the time clock with geofence, the shared clock-in station or the tips module, are bought separately and are not part of the free users. The rota itself, availability and swaps are open to every user.

Are the free users limited in time?

No. They are not a trial but part of the price: the first 3 users in every company stay free of a monthly charge.

Which is better, a spreadsheet or a system?

A spreadsheet is enough when there is nothing to coordinate: a small team, a fixed week and no swaps. Once you are collecting availability in messages and fixing the sheet after every swap, a system saves that time.

What happens to the data if we stop paying?

The data stays yours, and you can export it from settings at any time.
